ReceiveFlow
Shopify moves inventory. ReceiveFlow reconciles the supplier trail.
Use Shopify for products, locations, inventory, and native transfers. Add ReceiveFlow when receiving facts must be matched to invoices, evidence, payments, credits, and accounting output.
This is not an either-or choice
ReceiveFlow is designed as a reconciliation layer around Shopify, not a replacement for Shopify's product catalog or native inventory-transfer records.
Workflow comparison
| Need | Shopify native workflow | ReceiveFlow workflow |
|---|---|---|
| Products, variants, locations, and inventory | System of record | Reads Shopify product and location facts; posts merchant-approved receipts. |
| Inventory transfers | Creates and manages native transfers | Imports transfers read-only for comparison and linking. |
| Partial, short, or over supplier receipts | Tracks native receiving facts where supported | Keeps an immutable receipt-event trail with corrections and reversals. |
| Supplier invoice matching | Not the focus of the inventory workflow | Compares ordered, received, and invoiced quantities and costs. |
| Payables follow-through | Handled outside the inventory workflow | Tracks due dates, payments, credits, balances, and aging. |
| Shortage, damage, or price-variance evidence | Usually handled in email or separate files | Connects documents, discrepancy cases, ownership, and supplier claims. |
| Accounting handoff | Requires a separate accounting process | Creates reproducible generic and QuickBooks Online bill-import CSV snapshots. |
Choose native Shopify alone when
- You mainly need to move or receive inventory between known locations.
- Supplier invoices are simple and rarely disagree with receipts.
- Your accounting process already reconciles quantity and cost differences.
- You do not need receipt-specific evidence, exception ownership, or claims.
Add ReceiveFlow when
- Shipments arrive partially, late, damaged, short, or at changed costs.
- Invoices arrive separately and must be checked before payment.
- Receiving evidence and supplier follow-up are scattered across tools.
- Your bookkeeper needs a reproducible handoff instead of a changing spreadsheet.
